What personal data do we process and why?

We process the following personal data:
First name, last name, email, phone

We collect this data for contractual necessity to correctly document your reservation or purchase and to contact you regarding your reservation or purchase when necessary. You will receive a confirmation and reminder(s) for your reservation or purchase via email and possibly via SMS. After your visit or once you have received your product, we may send you an email to ask for your feedback about your visit or experience with our products.

If you also give us your explicit consent by signing up for the newsletter, your email address will also be used to keep you informed about our activities and promotions via email. However, you can unsubscribe at any time.

IP Address

Your IP address is recorded when you make a reservation or place an order. This is used, on one hand, to determine your location (country) and thus adjust the content of the reservation or purchase flow. On the other hand, the IP address is recorded at the time of reservation or purchase to prevent fraud. We do not identify you based on your IP address.

Date of Birth

Your date of birth is requested optionally. This gives us permission to make you a special offer for your birthday and provide you with a more personalized service. Your age can also be anonymized for statistical purposes.

Salutation/Gender

Your salutation/gender is requested optionally. This allows us to personalize the communication to you. If you give us permission to use your data for marketing purposes (newsletter), this may be used to send you a more specific offer.

Address Details

We collect this data for contractual necessity, as it is needed for any invoicing - only when applicable, as indicated in our General Terms and Conditions which you accept when making a reservation. Your postal code can also be anonymized for statistical purposes.

Company, VAT Number

We collect this data for contractual necessity as it is required for any invoicing - only when applicable, as indicated in our General Terms and Conditions which you accept when making a reservation. If you wish for the final invoicing to be done in the name of the company, we will ask you to provide this information.

Are your personal data shared with third parties?

Your personal data is never sold or passed on to third parties for commercial purposes.

The only ways your personal data can be shared with third parties are:

There is a legal obligation for us to transfer the personal data, such as in the context of (preventing) fraud and abuse;

We engage third parties to perform part of the contract with you, in which case we ensure that these third parties also comply with this privacy policy, see 5. By whom/in which systems is your data processed?

By whom/in which systems is your data processed?

We engage the following third parties to perform part of the contract with you. We ensure that each of these third parties also complies with this privacy policy.

Superb

We use the system of www.superbexperience.com as the main system for managing our reservation and online order data.

Superb will not use your personal data in any way for commercial or other purposes without your explicit consent, which you can only give on the Superb platform itself. By simply reserving or making a purchase with us, you are not explicitly giving this consent.

When you make a reservation or place an order, a passive profile will be created for you on the Superb platform. This is to enable matching based on email address with existing profiles in the database to prevent duplicate registrations and to ensure that your personal reservations and orders are grouped under your name.

If you do not complete your reservation or order, your email address will be temporarily stored to allow you the possibility to finalize your reservation or order. At that time, your email address will only be stored within the Superb platform and will not be communicated to us.

When you provide your data to us by phone, we will manually enter it into the Superb platform, and a matching will also be done based on the email address, the combination of last name and date of birth (if you have provided your date of birth), or mobile phone number. If you wish to use the option to invite friends during the reservation flow, you will first be asked to activate your passive profile on the Superb platform in accordance with the applicable privacy policy there.

Superb never shares personal data with third parties for commercial purposes. Superb also does not engage in direct marketing (commercial mailings possibly based on profiling) with your personal data without your explicit consent. You can always revoke this consent once you have given it. Currently, the possibility to have your data profiled on Superb does not exist, and therefore you cannot give consent for it. If this changes in the future, you will be asked for your consent.

Adyen/Mollie

For processing online payments, we use Adyen and Mollie, depending on the payment method. Once you start to pay online for an order, the data of an order and your basic contact details are passed on to Adyen. The basic data passed on can be viewed and adjusted immediately at the moment you are about to complete the payment. With Mollie, only a reference of the payment and the amount are passed on, along with a unique numerical reference to your Superb account. We do not receive usable information back from Adyen/Mollie regarding your payment, other than whether it succeeded or not. At no time do we receive your credit card details in a usable form, and therefore they are not stored by us.

Mailchimp

We use Mailchimp for sending our newsletters. The email address you provided will only be used to send information about Maison Colette and will not be shared with third parties. Your email address is stored and processed by Mailchimp in accordance with their privacy policy. You can unsubscribe from our newsletter at any time by following the unsubscribe link at the bottom of our emails.

How long are your personal data retained?

Reservation data, including any personal data linked to a reservation (such as contact details), is retained by us for 2 years. We may retain personal data longer if necessary, such as in the case where you signed up for the newsletter and we need to keep your email address longer.

You always have the right to have your data deleted sooner (see #Chapter7#), unless you have outstanding reservations with us.
